Terms and Conditions.
1. Quotations
Quotations are valid for 30 days from the date of issue.
Unless expressly stated otherwise, prices exclude worktops, appliances, plumbing, electrical works, and accessories.
Removal of any existing kitchen is not included unless specified in writing.
2. Deposits
To secure your place in our production schedule and confirm a delivery date, a deposit is required as detailed on your invoice.
Following a 48-hour cooling-off period, deposits on bespoke furniture are non-refundable.
Deposit structure is as follows:
– Initial reservation (to secure manufacturing slot): £5,000
– Orders up to £35,000: 50% deposit
– Orders £35,000 and above: 40% deposit
– Orders over £50,000: 30% deposit
3. Balance Payments
Approval of your final furniture drawings confirms your instruction to proceed with manufacture and your agreement to settle the full balance upon completion.
A second invoice will be issued upon design sign-off to bring the amount paid to 80% of the contracted total.
All known additional costs will be included at this stage. Any design changes requested after this point will incur additional charges.
Papilio reserves the right to revise pricing if raw material costs increase before the second invoice is issued.
Appliance invoices will be issued in full ahead of manufacture. Appliances not supplied by Papilio must be delivered to our workshop (at the client’s expense) for pre-installation fitting and are subject to a minimum £250 handling fee per item.
Final payment must be cleared at least 30 working days prior to delivery. Delays in delivery requested after manufacture has begun will not affect payment deadlines.
4. Design Inclusions
All design-related fees are included within your quotation and cover up to five revisions of the design drawings. Additional changes beyond this will be charged £75 per hour. This is to encourage clients to make decisions prior to advancing the design.
3D renders are included only for kitchen projects. We supply up to 2 design models within the price which can be manipulated to show different finishes. Other rooms or freestanding furniture do not include renders, though these can be provided at the same hourly rate as can additional kitchen models. Renders are visual aids only—items included in your quotation and invoice define your order and override floor plans.
5. Samples
We will provide up to five bespoke material samples per project, selected in accordance with the Client’s specification. In most cases, these samples will be sufficient to meet the project’s requirements. Should additional bespoke samples be requested, they will be supplied at a cost per sample.
6. Site Visits
Site meetings arranged by Papilio and required for the successful execution of your project are included within your quotation.
Any additional site attendance requested or required due to third-party issues may incur discretionary fees.
7. Furniture Materials
Timber and other natural materials vary in colour, grain, and texture. Minor movement or shrinkage can occur over time.
While we carefully select materials, exact matching to samples cannot be guaranteed. We strongly recommend clients visit our workshop during early production to review and approve finishes. Changes to finishes after fabrication will incur additional costs.
Clients are responsible for determining material suitability, especially for worktops and finishes. Papilio may apply discreet branding to finished furniture.
8. Installation Requirements
It is the client’s responsibility to ensure the site is ready for installation. The following conditions must be met:
– All building debris, tools, and waste must be cleared.
– Walls must be sound, with one coat of emulsion.
– Flooring must be installed.
– Services must be in place as per Papilio’s M&E drawings.
– Heating must be switched on to stabilise humidity levels.
The space must be cleared of trades and materials before delivery.
M&E drawings are issued only after design sign-off and must be reviewed by your tradespeople for compliance. Any furniture modifications required due to trades failing to follow M&E drawings will be chargeable.
Integrated appliances will be dry-fitted by Papilio but must be final-fixed by your on-site trades.
Freestanding appliances must be positioned and installed by your trades.
All silicone joints (including those for hobs) must be completed by your tradespeople.
Installation quotes are based on standard site conditions. Any additional time required due to site delays will be chargeable.
9. Site Surveys
Site surveys to confirm final dimensions can be arranged by Papilio at an additional cost or provided by the client’s representative.
We cannot accept responsibility for inaccuracies in surveys not conducted by Papilio. Any resulting design or fabrication changes will be chargeable.
10. Aborted Installation & Delays
If a site is not installation-ready within 21 days of the scheduled date (60 days for non-UK projects), aborted installation fees of up to 100% of fitting costs may be charged.
Storage fees will also apply. Papilio reserves the right to delay installation if site conditions—such as high humidity—are deemed unsuitable. Storage fees start from £250 per week depending on furniture volume.
11. Snagging
We strive for a snag-free installation. Clients (or their representatives) must be available on the final day of fitting—prior to worktop installation—to confirm completion and raise any snagging issues.
Return visits for additional snagging after this point will be chargeable.
12. VAT & Tax
Certain projects may qualify for VAT exemption. Papilio does not assess eligibility and relies on client-provided documentation.
VAT-free invoices may be issued in advance of proof, but VAT will be charged retrospectively if documentation is not provided or if HMRC later determines the exemption does not apply.
For international projects, similar rules apply regarding local taxes.
13. Errors & Omissions
Clients must thoroughly review all quotes and invoices to confirm accuracy, including appliance model numbers, finishes, and included products.
Visuals are for reference only—only items listed on the invoice are included.
Papilio reserves the right to amend invoices or quotes if errors or omissions are identified after issue.
14. Guarantee
Papilio guarantees all manufacturing and finishing processes for 10 years, this covers defects arising from manufacture, assembly, finishing and installation —provided the furniture is kept in a heated room with stable humidity levels. We are unable to cover damage through misuse or general wear and tear.
Timber worktops are excluded from this guarantee due to their maintenance requirements.
All accessories, appliances, and third-party worktops are covered by their respective manufacturer warranties.

16. Cancellation Policy
Following the 48-hour cooling-off period, deposits on bespoke furniture are non-refundable.
If the client cancels the project after manufacturing has commenced, all costs incurred to date—including materials, labour, and design time—will be chargeable. Remaining payments will be calculated based on the stage of progress.
17. Delays & Force Majeure
Papilio will make every effort to meet the agreed project timeline. However, we cannot be held liable for delays caused by circumstances beyond our control, including but not limited to supplier delays, shipping disruptions, adverse weather conditions, or other force majeure events.

19. Client Responsibilities
Clients are expected to provide timely approvals, feedback, and decisions throughout the design and installation process.
Failure to do so may affect timelines and could result in additional charges. The client is responsible for ensuring all information and site conditions provided to Papilio are accurate and up-to-date.
20. Insurance & Liability
Papilio maintains appropriate public liability insurance for its installation works.
However, Papilio is not liable for damage to existing property or systems arising from structural issues, pre-existing defects, or work carried out by third-party contractors.
